Privacy Policy
We do our utmost to protect your privacy. If you request our brochure, sign up to receive our newsletter or make a booking with us, this policy explains what information about you we will collect, how we will use it, the conditions under which we may disclose it to others, and how we keep it secure.

Firuzzi Art and Travel Ltd (“we”) is committed to protecting and respecting your privacy. This policy sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it. By visiting www.firuzzi.com or www.firuzzi.net, you are accepting and consenting to the practices described in this policy.

The core principles of our policy:
1. We collect and use personal data of clients only where we have legitimate business reasons and are legally entitled to do so.
2. We are transparent in our dealings with you as to what information about you we will collect and how we will use your information.
3. We use personal data only for the purpose(s) for which it was originally collected.

Legal grounds for processing
We process your personal data on one of the following legal grounds: performance of a contract with you; compliance with our legal obligations; our legitimate interests (provided these do not override your rights and freedoms); and your consent — in particular, for marketing communications and the processing of special category data (such as health information).

Personal information we collect
When you contact us (by email, telephone, in person or via our website) to enquire about our tours and other services, to obtain further information, or to make a booking, we need to collect personal data in order to fulfil your request. In most cases we only need your name and contact details (telephone number, email address), but if you intend to enter into a contract with us by making a booking, we will require further information about you (and your travel companions, where applicable). This may include:
– Full name(s) and address(es);
– Dates of birth;
– Passport details;
– Travel insurance details;
– Emergency contact details;
– Special requirements (for example, any disability or medical condition that may affect your enjoyment of the tour, and any dietary requirements).

We may also ask some additional voluntary questions when you register for certain services (for example, about destinations or holiday themes that interest you most, as well as any works of art that interest you or that you collect), in order to build a clearer picture of our clients.

You are responsible for ensuring that other members of your party are aware of the contents of this Policy and consent to you acting on their behalf in all your dealings with us.

Special category personal data
We may ask you to provide certain information concerning your health, including any medical conditions, in order to establish whether any such condition may affect the product or service you are interested in. We will only process such data with your explicit consent.

How we use and store your personal data
We may retain personal data for the following purposes:
– To process your bookings and manage them;
– To send booking updates and for general communication;
– To contact you with details of new tours, forthcoming events, surveys or competitions;
– To disclose to our service providers (in so far as reasonably necessary) in order to secure your booking. These may include overseas destination management companies, and accommodation and transport suppliers. Please note some may be located outside the UK/EEA;
– In addition to the specific purposes mentioned above, we may also process your details where necessary for compliance with a legal obligation to which we are subject;
– To disclose to organisations that perform business functions on our behalf and use the information for analysis, including monitoring, measuring and assessing trends;
– To disclose your information for immigration, security and anti-terrorism purposes, if requested by overseas government authorities.

Transferring information outside the UK
In certain circumstances your personal data may be transferred to countries outside the UK in order to manage your booking. Such transfers are protected by appropriate safeguards under the UK GDPR — including adequacy regulations approved by the UK Government, an International Data Transfer Agreement (IDTA), or other mechanisms approved by the Information Commissioner’s Office (ICO).

We retain personal data only for as long as necessary for the purposes set out in this policy, and for any period required by applicable law (for example, for tax and accounting purposes — typically no more than 6 years from the completion of your booking). Our service providers will not retain any personal data that we process for longer than is necessary for the purpose of your booking.

Information we receive from other sources
This is information we receive about you if you use any other websites we operate, or the other services we provide. In this case, we will inform you when we collect data about you, if we intend to share it internally and combine it with data collected on this site. We will also tell you the purpose for which we will share and combine your data. We work closely with third parties (including, for example, business partners, sub-contractors in technical, payment and delivery services, advertising networks, analytics providers, search information providers and credit reference agencies). We will notify you when we receive information about you from them and the purposes for which we intend to use that information.

How we protect your data
We guarantee that we have appropriate physical and technological security measures in place to protect your information, and that where any processes are outsourced, the service provider must hold the necessary security accreditation.

The information you provide to us is held in our booking and CRM systems, each of which is hosted on the servers of approved third-party providers. These third parties are Tilda CRM, Unisender, Mailchimp.

We do not pass your personal information to others for marketing purposes.
